Product Overview
Open Tender is designed to provide the facility to record and track any enquiry for work to be undertaken, whether that be a tender, a general enquiry or the provision of a budget price for a project.
The first stage is to record all relevant details into the Tender Stage of the entry screen. These include the obvious fields for names, addresses, contact numbers etc., for all parties involved, together with the conditions of the contract, method of measurement, specification, contract time scale, date and time and other relevant fields. Internal details are also added, for example, estimator and buyer details. The tender is then given a status, which at the initial stage would normally be Pending. Details of the tender, in report format, can then be automatically emailed to all relevant parties, both internal and external, as required.
Product Features
Management information reports can be generated at any time, relating to any aspect of the tendering process. The pre written reports include:
- All tenders pending
- Tenders won/lost
- Tenders won/lost by estimator
- Tenders won/lost by type of work
- Tenders won/lost by client
When a Tender is won, further details are then entered into the Contract Stage section of the form, including the contract number, references, values including any retentions, staff details and relevant details. These details can also be automatically emailed to relevant parties, in report format.
It is also possible to integrate the Contract Stage with paper based procedures. For example, if a company is using a particular form in a procedures manual that must be completed before a contract number is allocated, then the form can require it to be confirmed that correct procedures have been followed, prior to any contract number being issued. The procedures in Open Tender can be provided in written format to form part of an ISO Quality Assurance set of procedures.
Detailed management reports can also be generated from this section. The pre written reports include:
- Contracts won/lost
- Contracts won/lost by estimator
- Contracts won/lost by type of work
- Contracts won/lost by client
- Contracts by client percentage of overall business
- Contracts by type of business percentage of overall business
- Contracts by estimator
Open Tender has been written in Microsoft Access and can be used as a standalone product or can be integrated into most industry standard accounting or estimating packages.
